Internal Communications

Internal Communications, located within µþ¾±´Ç±ô²¹â€™s Office of University Communications and Marketing (UCM), is responsible for mass communication to current students, parents, faculty and staff on behalf of the institution or individual departments.

The team helps campus partners develop and disseminate strategic messaging through a variety of channels. This includes applying innovative approaches that span varying generational backgrounds and experiences. Additionally, the team ensures that content aligns with the goals of the university’s efforts and is consistent with µþ¾±´Ç±ô²¹â€™s brand tone, style guidelines and best practices.

Services

When the university produces cohesive and impactful messaging, we build trust with our intended audiences and ultimately, create raving fans of Biola. Our team offers the following services to ensure our communication is clear, timely and engaging.

Communication Campaigns

As large-scale initiatives often require communication across multiple channels over an extended period, our team offers help creating and coordinating key messaging, timelines, and graphics to best reach your intended audience.

Mass Email Training

To avoid Biola emails being marked as spam, content for more than ten recipients should be sent using one of µþ¾±´Ç±ô²¹â€™s mass email programs. Our team trains one dedicated member of each academic department to send emails to their current student population.

Mass Emails

Internal-facing emails beyond the scope of each academic department’s email champion and those listed in our are sent in collaboration with our team (e.g. emails to all current students, current parents, faculty and staff). We will assist in writing and suggest a send date to ensure maximum impact amidst pre-scheduled messaging. Our team may also suggest alternative messaging strategies in cases where these are more effective.

Student Life Newsletter

All traditional undergraduate students receive this email every Monday around 5:30 p.m. from our office. Our team curates student-facing announcements and event promotions based on open submissions from current staff, faculty and students.

Faculty and Staff Newsletters

Each week, our team curates two weekly newsletters for all staff and faculty based on open submissions: 1) Campus-wide News every Tuesday featuring business updates and 2) Community News every Friday featuring employee events, awards, and life updates.

Current Parent Communication

Our team uses Facebook and email to keep current parents and families updated on ways to stay involved with our campus community. We are happy to pass on any relevant news and opportunities on your behalf.

Digital Signage Training and Submissions

All campus TV signage is run on a centralized system in preparation for emergency messaging. We offer training for departments with department-owned TVs to self-manage their content and assist in uploading designs to designated campus-wide TVs according to our university digital sign policy.

Poster Approvals

All staff, faculty, and students are welcome to put up self-designed posters in approved posting locations after receiving an approval stamp from our office. This ensures that all content is appropriate, accurate, and in adherence to the university poster policy.

Mobile App Strategy

µþ¾±´Ç±ô²¹â€™s mobile app provides students, faculty, staff, and prospective families with easy access to university updates and resources. Aside from maintaining evergreen content, our team can help create a strategy to promote departmental information and engage intended audiences on a regular or ad hoc basis. We additionally offer training for departments to learn how to upload and manage their content.

Graphic Design Coordination

Our office works closely with Student Development and Student Success to request a large volume of professional designs from UCM. We assist in the brainstorming process as needed and coordinate both design feedback and print deliveries.

Timelines

Due to the high volume of requests our office receives, we ask you to follow these recommendations for advanced notice to ensure your request is completed on time. In cases where a response from our team is requested, you can expect to hear back from us within three business days. We understand that short notice is sometimes unavoidable and will try our best to accommodate rush requests.

Communication Campaigns

Please notify our team two months in advance of your intended start date. In cases where designs are needed from UCM, this allows time to observe their request for six weeks of advance notice with all text finalized.

Mass Email Training

Our team will schedule a training within two weeks of your request. In most cases, training can be done within one week.

Mass Emails

Please notify our team at least one week in advance if you need assistance drafting the copy or three days in advance with a draft.

Student Life Newsletter

As these are curated for Monday releases, all submissions are due by the prior Friday at 12 p.m.

Faculty and Staff Newsletters

Content for the Tuesday Campus-Wide News should be submitted by the prior Friday. Content for the Thursday Community News emails should be submitted by the prior Tuesday. This gives our team one business day to process your request.

Current Parent Communication

Please make your request one week in advance to assist you in copywriting and scheduling.

Digital Signage Training and Submissions

Please submit four days in advance of your desired post date. In most cases, our team can schedule or upload your image within one business day.

Poster Approvals

Most posters are approved within one business day. If a poster design is in question, our team may take up to three business days to complete your request.

Graphic Design Coordination

To observe University Marketing’s request for six weeks of advanced notice with all text finalized, please contact us seven to eight weeks in advance to help you prepare your request.

To send a mass email to more than 10 staff and/or faculty outside of your department or request mass email training for your department email champion, contact Brenda Velasco, Senior Director of Communications, with your intended copy.

To initiate the poster approval process, bring your completed posters to the University Communications and Marketing desk in Upper Metzger East. Fill out a poster approval request form made available on the countertop and leave both items together on the desk. You will receive an email as soon as your posters are ready.
